Instructions for Online Participants

Important Notes

Virtual meetings can be challenging due to the many technical issues that can emerge during the virtual sessions. Please be patient and relaxed when things are not as perfect as we expect them to be. Here are some guidelines and instructions for session co-chairs, speakers, and the general audience that should help us to run the conference as smooth as possible.

Please note that we request all the speakers to be online during Q&A disussion related to their papers.

Instructions for Session Co-Chairs

  1. Please join the Zoom session at least 10 minutes before the session starts. The link to the Zoom session can be found in the program directly on the respective session page. It is also available in the email with the access information that all participants received.
  2. When joining the Zoom session, please use your real name, so that people know who you are.
  3. Verify that at least one author per paper is present to answer questions during the discussion.
  4. Make sure that you have access to the program of your session and keep it in a window that is easy to access during the session.
  5. You will be made co-host of the session. This role enables you to control the meeting if necessary and possibly to stream the video presentations if required. The session is based on prerecorded videos that will be streamed by the technical staff in Banja Luka. Ideally, you do not need to worry about the technical details. But be patient if things are not as smooth as expected.
  6. Turn on your microphone and (optionally) video at the start of the session to introduce it, as well as during the discussions.
  7. Our technical staff will mute all participants except for the co-chairs, the speaker and the participants that engage in the discussion. Anyway, please remind people to mute themselves when not speaking.
  8. During the presentation and the discussion, regularly check the chat window and the participants list to see if anyone has questions. After the video presentation is completed, engage the audience to participate in discussion.

  1. Please join the Zoom session at least 5 minutes before the session starts to test your audio and video connection and (optionally) to communicate with the session co-chairs.

  3. When joining the Zoom session, please use your real name, so that people know who you are.
  4. Please keep your microphone and camera off all the time except during the discussion following the presentation of your video.

  3. If you have a question, please use the raise hand feature of Zoom (look for it in the participants list) or by typing in the chat.
  4. Be ready to ask your question when the chair calls you.
  5. Note that time for questions is limited.
